Terms and Conditions & Internal Policies

Welcome to Casa de Sobrado – Countryside House!

To ensure the best experience for all our guests, we ask that you carefully read the following terms and conditions, as well as the internal regulations. By making a reservation, you agree to comply with all the provisions set forth in this document.

1. General Provisions

1.1. These conditions apply to all guests who make a reservation at A Casa de Sobrado – Countryside House, located at Rua de Sobrado 156 Barros, 4730-080 Vila Verde, and are of legal and operational scope for the stay. The Internal Regulations are available to Guests at all times, either at the accommodation or on the A Casa de Sobrado website.

1.2. The act of making a reservation implies full and unrestricted acceptance of the terms described herein, which aim to maintain the safety and tranquility of both guests and neighbors.

1.3. Failure to comply with any of these conditions may result in immediate cancellation of the reservation and immediate vacating of the property, without the right to a refund.

1.4. Only citizens over 18 years of age may make reservations and minors may stay accompanied by an adult.

1.5. Rates are in Euros.

1.6. All guests will be met by a member of staff upon arrival to hand over the keys. This person will conduct a guided tour to provide guidance and answer any questions about the property.

1.7 Right of admission and access: the host reserves the right of access and admission, in accordance with the law.

1.8. At the end of the stay, an inspection will be carried out at the accommodation to assess compliance. The keys will be returned in person. In the event of loss of the keys, a fee of €50 will be charged for their replacement.

1.9. If guests forget their keys inside the accommodation, making it impossible for them to access the accommodation, a fee of €35 will be charged for going to the house and opening the door.​

1.10. The accommodation provides bed linen and bath towels for the number of guests indicated in the reservation. Additional requests are subject to a charge of €5 for each additional item.

2. Booking procedures and types of rates

2.1. Reservations must be made exclusively through the official booking platforms or directly with the host, using the contact details specified.

2.2. To guarantee the reservation, the guest may be required to pay a deposit, which will be calculated based on the rates selected at the time of booking.

2.2.1. Payment method: payment may be made via bank transfer, credit card or payment platform. Detailed information for each payment method will be provided at the time of booking.

2.3. In the case of payment of a deposit, as a guarantee of the reservation, the remaining balance must be paid in accordance with the instructions provided at the time of booking.

2.4. Late payment policy: if the balance of the reservation is not paid by the stipulated date, the reservation will be considered cancelled and the guest will lose the amount of the deposit paid.

2.5. Types of rates
At the time of booking, we may offer two types of rates, subject to availability, each with its own specific features:

2.5.1. Flexible rate:
Payment of deposit indicated at the time of booking and the remainder as defined in the booking confirmation;
Cancellation possible up to 14 days before the check-in date;
Booking changes allowed, provided they are made up to 14 days before the check-in date.
2.5.2. Non-refundable rate:
Payment of deposit or 100% of the stay amount, as indicated at the time of booking and the remainder as defined in the booking confirmation;
No possibility of cancellation or refund;
Changes only in exceptional cases of health or death upon presentation of proof issued by the competent authority.

3. Booking Cancellations

3.1.Cancellation by the guest:
To cancel a booking, the guest must contact our accommodation by email or via the form on our contact page and provide the following details:
Full name;
Booking date;
Copy of the booking confirmation.

3.1.2. From the moment we receive the request and confirm it, we will process the cancellation of the reservation and the respective refund will be made according to the type of rate of the reservation:

3.1.2.1 Flexible rate reservations:
If a cancellation request is made in accordance with the rules of this type of rate, a voucher will be issued for use within the availability of the accommodation or, alternatively, a refund of the amount paid in the meantime minus 2% for the return fee for administrative and banking costs.

3.1.2.2 Non-refundable reservations:
No refund will be issued.

3.2. Cancellation by the host:

We reserve the right to cancel a reservation in the following circumstances:
3.2.1. Emergencies at the property (e.g. damage to the structure, serious electrical or plumbing problems).
3.2.2. Force majeure (e.g. natural disasters, mandatory lockdowns).
3.2.3. Overbooking: in any situation of overbooking detected, we will immediately contact the guest in question in order to reschedule or refund the amount of the payment already made;
3.2.4. Irregularities with the documentation presented by the guest, namely false statements.
3.2.5. In the event of cancellation on our part, the guest will be asked to consider the possibility of granting a voucher for the amount already paid or a refund of the amount paid up to that moment.


4. Reservation changes
4.1. Changes to reservations must be requested in advance as long as they fall within the conditions of the flexible rate. Guests may change:
Check-in or check-out dates;
Change of guests as long as they comply with the defined rules and accommodation capacity;

4.2. Change requests must include:
The name of the guest;
The initial date and new date of the reservation;

indicate a change in the number of guests.

4.3. Depending on availability, the guest must pay the difference in the rate between the initial reservation and the rate on the rescheduled date.

5. No-Show Policy
5.1. If the guest does not show up on the day of check-in and does not notify in advance of the new arrival date, the reservation will be considered canceled at midnight on the scheduled day, with no right to a refund.

6. Refund Process
6.1. Once the cancellation request has been processed (if applicable), a cancellation receipt will be issued.

6.2. Refunds will be made using the same payment method used for the reservation.

6.3. The refund period is 10 business days, and may take longer in cases of bank processing.

6.4. A refund confirmation email will be sent to the guest as soon as it has been processed.

7. Check-in and Check-out

7.1. Check-in will be available from 5:00 p.m. on the scheduled day, unless otherwise agreed in advance.

7.1.1. Arrival time between 5:00 p.m. and 8:00 p.m. It is recommended that the guest informs the host of the expected arrival time at least 24 hours in advance so that the host is prepared to receive him/her. If the arrival time is after 8:00 p.m., an additional fee of €25 will be charged. If the guest notifies the guest up to 24 hours before check-in that he/she will not be able to arrive on the scheduled day, he/she will not be entitled to a refund for the day(s) of delay.

7.1.2. A security deposit of €350 may be required to cover damages caused during the stay. The security deposit will be returned upon check-out once the accommodation has been verified as being in good condition.

7.2. Check-out must be completed by 11am on the day of departure.

7.2.1. Check-out extensions: can be requested up to 24 hours before departure and are subject to availability and an additional fee of €25 will be charged.

7.3. No-Show Policy: If the guest fails to appear on the day of check-in and does not notify in advance of the new arrival date, the reservation will be considered cancelled at midnight on the scheduled day, with no right to a refund.

8. Documentation to be presented at check-in

8.1. All guests must present a valid identity document (identity card or citizen card or passport) at check-in.

8.2. For minors, it is essential to present an updated document and written authorization from their guardians (if they are not accompanied by their parents), which must be signed by both parents or legal guardians.

8.3. Check-in form: a standard form is available and must be completed and signed before arrival or at check-in.

8.4. The host will not perform check-in without the presentation of the correct documentation. If this occurs, the guest will not be entitled to a refund.


9. Accommodations

9.1. The Townhouse is designed to accommodate up to 6 people, respecting the maximum stipulated capacity, which can accommodate up to 8 people, subject to availability, and an extra folding bed at an additional cost;

9.1.1. Maximum capacity is based on comfort and safety and must be strictly respected. Otherwise, the host reserves the right to request the property to be vacated.

9.2. The use of the house is restricted to accommodation and leisure purposes. Parties, events or any activities other than those for which it was reserved, as well as use that compromises the peace and quiet of the place, are strictly prohibited.

9.3. Private parking: the property has two private parking spaces for the convenience of guests. It is essential that all guests respect local parking rules and signage. Parking in areas not permitted may result in fines or removal of the vehicle.


10. Responsibilities when using the accommodation

10.1. The guest is responsible for any damage, loss or destruction of property during the stay.

10.1.1. Damage Procedures: Guest must notify host immediately of any damage, which will be assessed, and guest may be responsible for the cost of repairs or replacements.

10.2. Smoking is strictly prohibited inside the house or in covered areas. Guest must use designated outdoor smoking areas.

10.3. All guests must ensure that doors and windows are locked when leaving to minimize the risk of theft, and turn off lights, air conditioning and all electronic devices for security reasons.


11. Children

11.1. All children are welcome.

11.2. Two (2) children under 4 years old stay free when sharing the king-size bed in the room with up to two (2) adults. Parents may bring their own cribs. Maximum occupancy rules apply to this offer.

11.3. Children must always be supervised by adults to ensure safety, especially when using risk areas such as swimming pools, stairs, balconies and gardens.

11.4. Adults must ensure that children do not use furniture and decorative objects as toys.

11.5. The host is not responsible for accidents that occur in the event of negligence in supervising children.


​ 12. Assistance

12.1. The host will be available for support during office hours. Contact can be made by calling the phone number provided at the time of booking.

12.2. Guests are encouraged to provide feedback and report incidents during their stay. Suggestions are welcome and can be sent via email.

​ 13. Rules of coexistence and civility

13.1. Mutual respect between guests and neighbors is essential. Attitudes that cause disturbance may result in communication to the competent authorities and termination of the stay.

13.2. All guests must respect the peace and privacy of the neighborhood. Excessive use of sound or unauthorized parties are grounds for expulsion.

13.3. Acts of vandalism, violence or discrimination will not be tolerated.

14. Silence - Compliance with the Law and noise regulations

14.1. We would like to draw your special attention to the strict compliance with noise regulations. Given the location of the Casa de Sobrado, located in a quiet village, the legal noise regulations must be strictly respected. No noise is permitted between 10:00 p.m. and 8:00 a.m., and during the day, only background music is permitted that does not disturb the neighbors and provides a peaceful environment for everyone.

14.2. In the event of non-compliance, we reserve the right to immediately terminate the rental and notify the local police authorities.

14.3. The guest acknowledges this communication and will be held responsible for any situation that gives rise to any type of fine by the authorities.

14.4. If civil, criminal or administrative offence proceedings are instituted due to non-compliance with noise regulations and the above provisions by the guest or anyone staying with them, the payment of any compensation or fine that may be applied will be the sole responsibility of the guest.

15. Visitors: visitors from people not involved in the accommodation reservation are not permitted.


16. Rules for using the pool

16.1. The pool is 6.00 x 3.00 meters in size, with a minimum depth of 1.20 meters and a maximum depth of 1.50 meters.

16.2. The pool should be used responsibly and it is recommended that it be used between 8 am and 10 pm.

16.3. Children must be supervised by a responsible adult at all times while in the pool.

16.4. It is strictly forbidden to use glass objects and food in the pool in order to avoid accidents and maintain hygiene.

16.5. The use of the pool is subject to the use of appropriate clothing. For health safety reasons, it is forbidden to enter the pool wearing clothing that is not suitable for the purpose.

16.6. It is mandatory to shower before entering the pool, using the outdoor shower for this purpose.


17. Safety

17.1. The guest is responsible for ensuring the security of his/her personal belongings during the stay and must ensure that doors and windows are locked when leaving.

17.2. In the event of an emergency, the guest must immediately call the emergency services using the contacts available at the accommodation and then inform the host.

17.3. The host assumes no responsibility for theft, robbery or damage to the guest's property during the stay.

17.4. The use of any type of appliances (electric, gas or other) other than those available in the accommodation is expressly prohibited.


18. Maintenance and cleaning

18.1. The accommodation will be cleaned before arrival and after departure by the host, in accordance with appropriate hygiene standards.

18.2. The use of bath towels is exclusively reserved for personal hygiene purposes. The use of household textiles for purposes other than those for which they are intended is expressly prohibited.

18.3. Waste removal: waste must be separated for recycling in the containers available in the accommodation and removed daily for deposit in the appropriate public containers, according to the location instructions available in the accommodation.

18.4. The guest must keep the accommodation reasonably tidy during their stay and ensure that the house is left in good condition after departure.

18.5. The host may carry out inspections to ensure the conservation of the property, and the guest must be notified in advance.


19. Prohibitions

19.1. Smoking is prohibited in all areas of the house and in the pool.

19.2. Pets are not allowed.

19.3. Illicit substances and the sale of products are strictly prohibited on the premises of the house.

19.4. Any modification to the property of the house, such as the removal or alteration of furniture and decorative objects, is strictly prohibited.


20. Guest responsibilities

20.1. The guest must report any change in the number of registered occupants, never exceeding the maximum capacity of the house.

20.2. The guest is responsible for protecting his/her personal property, and there will be no compensation or reimbursement for lost or damaged property.

20.3. The guest must respect any warnings or instructions from the host during the stay.

21. Complaints

21.1. There is a complaints book.

21.2. Should complaints arise, they should be reported first and immediately to the host, who undertakes to seek the best possible resolution in a timely manner.

21.3. The guest must provide clear and precise details of the complaint, including date, time and a detailed description of the incident.

21.4. All occurrences will be carefully analyzed, and the host undertakes to implement any necessary changes to improve the experience of future guests.


22. Changes and contact

22.1. The host may modify the terms and conditions at any time, provided that guests are informed in advance and by clear means of communication, in particular by email.

22.2. For any questions, suggestions or complaints, the guest may contact the host via the email or telephone number provided in the reservation. Service will preferably be provided between 9 am and 6 pm on weekdays.

22.3. The host will inform of any changes to contact details, ensuring that guests always have a communication channel available.​
These internal regulations are governed by the laws of Portugal, and any dispute arising therefrom shall be resolved through the consumer arbitration center – CIAB - Rua D. Afonso Henriques, 1 - 4700-030 Braga or in the competent courts of the district of Braga.

Compliance with these rules is vital for the good coexistence, safety and satisfaction of all involved.
